每日订单交接清单:把海外订单交给中国履约仓时要写清哪些字段(daily order handoff checklist for China fulfillment warehouse)

Why daily order handover needs a fixed checklist

For businesses that purchase from multiple suppliers in China and then ship to the US and other overseas markets, order handover is not as simple as "sending over a spreadsheet." A China fulfillment warehouse has to handle receiving, consolidation, basic quality inspection and photography, storage, relabeling, repacking, inventory organization, picking and packing, and arranging international shipping all at the same time every day. If handover information is missing, the warehouse can only stop and ask, or proceed based on its own understanding—resulting in wrong shipments, missing items, incorrect packaging versions, undeliverable addresses, and other problems.

The core purpose of the daily order handoff checklist for China fulfillment warehouse is to clearly explain at once "which orders are going out today, what each order looks like, which ones are prioritized, and who to contact if there is a problem." The checklist below can be used directly as a daily handoff template.

1. Order status: first distinguish "executable" from "pending confirmation"

The warehouse's biggest fear is shipping out orders that should not be shipped. During handoff, please divide orders into three categories and mark the status in the table:

  • Ready: Inventory has arrived at the warehouse, quality inspection is complete, recipient information is complete, packaging requirements are clear, and it can proceed to picking and packing.
  • Hold: Missing recipient information, missing packaging version, customer has not yet confirmed the relabeling content, or waiting for other SKUs in the same batch to arrive at the warehouse.
  • Exception: Quality inspection found issues, quantity mismatch, package damaged, or customer decision is required before proceeding.

For status fields, it is recommended to use fixed English or fixed Chinese, and not change the wording every day. The warehouse filters by status, which is faster than reading notes one by one.

2. Recipient information: check item by item; don't just write "address see attachment"

Once overseas recipient information is incomplete, the package cannot be delivered even after it reaches the destination country. The daily handoff should at minimum include:

Field Description
Recipient Name Should match the ID or receiving conventions in the destination country; avoid using only a nickname
Company name (if any) Required for commercial addresses; may be left blank for residential addresses
Country/Region Use the standard country name, not ambiguous abbreviations
State/Province, city, postal code Postal code must match the state/province to avoid confusion between multiple postal codes in the same city
Street address and house number Include unit number, floor, and entrance instructions
Phone and email Used for delivery contact in the destination country; please provide a reachable phone number if possible

If the same buyer has multiple addresses, please indicate in the handover sheet "which one is to be used this time"; do not assume the warehouse knows.

3. SKUs, quantities, and batches: write "what to ship" in an executable way

The SKU field is recommended to include: the seller's internal SKU, supplier item number, color/size/model, quantity, and the corresponding purchase order number or inbound batch. If the same SKU has multiple packaging versions (e.g., old packaging, new packaging, promotional pack), the version must be marked separately; otherwise, the warehouse cannot determine which box to pick.

  • For quantities, write both "piece count" and "box count" dimensions; avoid writing only "one box."
  • Bundle products must be broken down into sub-items, clearly stating the SKU and quantity of each sub-item.
  • Whether gifts, replacement parts, and manuals are shipped with the package; list them on a separate line.

4. Packaging versions and work requirements: relabeling, repacking, and consolidation must all be specified

The China fulfillment warehouse can perform relabeling, repacking, inventory organization, picking and packing, and other operations, but these actions must be explicitly instructed by the customer. The daily handover is recommended to include:

  • Whether relabeling is needed: what content to apply, which side to apply it on, and whether to cover the original label.
  • Whether repacking is needed: use the original box or switch to an outer box, whether to add filler, and whether to remove the branded outer box.
  • Whether consolidation is needed: which orders to combine, whether the combined shipment will be overweight or oversized, and whether splitting into multiple boxes is needed.
  • Whether materials need to be removed: whether gift cards, receipts, and promotional inserts should be taken out.

If these requirements change daily, it is recommended to fill in a fixed column with "Yes/No + Remarks" rather than writing them in free text.

5. Priority: let the warehouse know which batch to do first

Order volume varies each day at the warehouse, so a priority field reduces back-and-forth communication. Commonly used levels:

Priority Applicable Scenarios Handover requirements
P1 Urgent Customer has committed to a shipping date, replacement parts to be reshipped, last restock before a promotion State the latest dispatch date and reason
P2 Normal Regular e-commerce orders Process in handover order
P3 Can wait Wait for subsequent SKUs to arrive at the warehouse before consolidating Specify the waiting scope and review time

Do not mark everything as P1 priority, otherwise there is effectively no priority.

6. Exception contact: who to contact when problems arise, and how quickly they will respond

The daily handover sheet should end with an exception contact section, including at least: the customer-side contact name, email, available contact hours, and backup contact. If there are quality inspection exceptions, quantity discrepancies, or packaging version questions, the warehouse should be able to reach someone who can make decisions directly, rather than passing messages through multiple layers.

Suggested agreement: after the warehouse sends an exception inquiry, the customer replies "continue/pause/change instruction" within the agreed time. If no reply is received within the time limit, the order remains on Hold and is not dispatched without authorization.

7. Execution order for daily handover

  1. The customer organizes the day's orders and classifies them by status.
  2. Verify recipient information, SKU, quantity, packaging version, and priority.
  3. Send the handover sheet to the China fulfillment warehouse and confirm receipt.
  4. The warehouse picks and packs according to executable orders; exception orders are moved to pending confirmation.
  5. Re-verify recipient information and packaging requirements before dispatch, then arrange international shipping.
  6. After the customer receives the outbound feedback, update the next day's handover sheet.

If you are looking for a China warehouse that can handle receiving, consolidation, basic quality inspection and photography, storage, relabeling, repacking, inventory organization, pick-and-pack, and arranging international shipping, you can check /warehouse-fulfillment/, and via /contact/ Explain your SKU structure, daily order volume, and packaging requirements to get a real-time quote.

8. Customs clearance and taxes: only remind to check official requirements

Involving the destination countrycustoms clearanceand taxes, be sure to check the latest official requirements of the destination country's customs or tax authorities to obtain accurate information. Requirements may differ by country, product, and trade method, so it is recommended to confirm the relevant responsibilities and required documents with the recipient before shipping.
