Why parcels with damaged labels cannot simply be "set aside for now"
After ordering from Taobao, JD.com, Pinduoduo or 1688, the parcel is first sent to a China forwarding warehouse. Normally, the warehouse assigns the parcel to your account based on the tracking number, recipient identifier or member number on the label. But if the label gets rained on, covered by tape, worn off during transit, or the seller's printed label itself is unclear, the parcel becomes an "unclaimed item."
If this type of parcel is left unhandled, it leads to three direct consequences: First, it cannot enter your consolidation scope — the order you thought was complete is actually still missing one item. Second, long-term storage of unclaimed items takes up warehouse space, making later verification more costly. Third, by the time you're ready to ship out and discover an item is missing, tracking it down will be far harder than on the day it arrived. So for an unreadable parcel label on arrival at China forwarding warehouse, the right approach is to start matching at the inbound stage, not to put it off until consolidation.
First, distinguish three types of "unclear" situations
Not all label issues need the same handling. First determine which category it falls into — that helps you decide how much evidence to provide.
| Situation | Typical signs | Processing priority |
|---|---|---|
| Partially readable | Tracking number missing a few digits, member ID half covered, barcode still partially scannable | High, usually matched the same day |
| Completely unreadable | The shipping label was torn off, the entire label is blurry, or only blank paper remains | High, requires multi-dimensional evidence |
| The label fell off but the package is intact | There are tape marks on the outer box; the items inside and the packing slip may still be there | First, look at the clues inside the box |
Note: The warehouse's inspection of unopened packages is limited. If the outer box of a package is intact and there's no authorization, the warehouse will not open it without permission. So the clue of the 'packing slip inside the box' can only be used when the package itself is already damaged, or when you explicitly authorize opening it for verification.
Four evidence dimensions for matching ownership
The warehouse and the buyer can cross-check together using the following four dimensions. A single dimension is often not enough; a match is more reliable when two or more dimensions align.
1. Order screenshots and platform logistics records
On the platform's order page, you can see the carrier and tracking number the seller used when shipping. Compile the tracking numbers of all recent orders that haven't arrived at the warehouse, and compare them with the remaining numbers scanned by the warehouse. Even if only the last four digits remain, it can greatly narrow down the possibilities.
2. Product characteristics
The outer box dimensions, shape, weight range, outer packaging color, and whether there's any brand printing are all useful clues. For example, if you recently bought a large storage box, but the warehouse received a small flat box, that can basically be ruled out.
3. Weight and number of pieces
The seller's shipping records usually include the weight. After the warehouse weighs the package, if it's close to the weight of a certain order, that can serve as supporting evidence. The same goes for the number of items: if you remember that a certain order was shipped as two items together, and the warehouse received two packages of the same specifications, that's a signal.
4. Seller shipping records and communication records
If the first three dimensions are not enough, you can contact the seller directly and ask them to provide the shipping time, carrier, tracking number, and package appearance description. Many sellers have this information in their backend but just won't send it to you proactively.
Actionable handling process
The following sequence is suitable for most warehouse arrival exceptions involving unreadable shipping labels.
- Step 1: The warehouse logs the exception. If a shipping label is found to be unreadable upon arrival at the warehouse, first record the arrival time, outer box dimensions, weight, appearance photos, and any remaining readable characters. Do not discard it directly or place it in a regular storage location.
- Step 2: The buyer submits a list of orders not yet arrived at the warehouse.Compile a table of the order numbers, platforms, sellers, tracking numbers, product names, quantities, and estimated weights for orders you believe have not yet arrived at the warehouse, and send it to the warehouse for verification.
- Step 3: Cross-compare.Compare the four fields one by one: remaining tracking number, weight, dimensions, and piece count. If two or more fields match, mark it as "highly likely."
- Step 4: Gather additional evidence. For packages that are "highly likely" but still uncertain, contact the seller to confirm the shipping information, or provide an order screenshot and a product page screenshot.
- Step 5: Confirm ownership and update inventory.Once confirmed, assign the package to your account, update the inventory status, and then decide whether to continue waiting for other packages to consolidate, or arrange shipment separately.
- Step 6: Suspend when it cannot be confirmed. If none of the evidence matches, mark the package as pending claim, keep the photos and records, and wait until the remaining orders arrive before comparing again.
Verification info template to give the warehouse
To make matching faster, you can send all the information at once in the format below. The more complete the information, the less back-and-forth communication is needed.
| Field | What to fill in |
|---|---|
| Platform and order number | For example, Taobao order number, JD order number |
| Seller name | Store name or supplier name |
| Tracking number | The complete tracking number provided by the seller when shipping |
| Item names and quantities | Try to write specific specifications |
| Estimated weight and dimensions | Data from the seller's page or shipping records |
| Shipping time | The date the seller clicked to ship |
| Notes | Whether it is fragile, whether it contains multiple items, whether the outer box has special markings |
Common misconceptions
- Claim it based only on a feeling that it seems like yours.Mistakenly claiming a package will result in someone else's goods being assigned to your name. This is only discovered later during outbound processing, making it even more troublesome to resolve.
- Wait until all packages have arrived before checking them together.Packages with damaged labels should be handled as early as possible. If you delay until the consolidation stage, the warehouse will have already received many new packages, making comparison exponentially more difficult.
- Ask the warehouse to unpack the package directly to look for clues.Unauthorized unpacking affects package integrity, and warehouses usually won't do it. The correct approach is to provide external evidence first, and only authorize opening the package for verification if necessary.
- Ignoring the seller's shipping records. Many buyers only stare at the platform page, but actually the seller's backend shipping information is more complete — asking the seller directly is often the fastest.
How to arrange things after matching is complete
Once the parcel's ownership is confirmed, you can add it to your consolidation list. If this parcel is the last one, you can arrange consolidation and dispatch; if there are still other parcels on the way, you can leave it at the warehouse and wait. For the rules and steps of consolidation, you can refer to Consolidation Shipping Instructions; if you need to understand the fee structure first, you can check pricing page. New users can first Register an account, then submit the order information using the template above.
In one sentence
An unreadable shipping label isn't a dead end. The key is to start a four-dimensional cross-check on the day it enters the warehouse — "remaining tracking number info + weight and dimensions + product characteristics + seller shipping records" — and use two or more matching fields to confirm ownership. If it can't be confirmed, suspend it first and keep the evidence, rather than claiming it on a hunch or leaving it sitting indefinitely.
