Why you need a separate repackaging inspection checklist before shipping to the UK

Order from Taobao, JD.com, Pinduoduo, or 1688 and ship toUnited Kingdom, packages usually go through four legs: domestic courier, China consolidation warehouse, international transport, and local delivery in the UK. The packaging commonly used by sellers for the domestic leg only considers the short journey "from factory to buyer" — the cardboard is on the thin side and there is too little cushioning. When faced with multiple rounds of handling and long-distance jostling on the international leg, the probability of damage rises noticeably.   • The product itself comes in branded retail packaging, a gift box, or collector's packaging, and swapping the outer box may affect resale or gifting.
  • The original retail boxes of electronics and small appliances contain custom inserts; replacing them with generic cushioning materials actually reduces protection.
  • For cosmetics, perfumes, alcohol, and other products containing liquids or fragile glass, the original factory inserts have usually undergone drop testing.
  • Products with anti-counterfeit seals, serial number stickers, or single-use seals cannot be restored once opened.

Conversely, the following situations are suitable for asking the warehouse to replace the outer box or remove excess packaging:

  • The seller used an oversized cardboard box to pack small items, leaving a lot of empty space inside, which inflated the volumetric weight.
  • The outer box is already visibly deformed, damp, torn, or has loose tape.
  • Multiple packages need to be consolidated, so they must be packed together into a sturdier outer box.
  • The original packaging has a lot of Chinese promotional printing, free gifts, or unrelated accessories, and you don't need to ship them along with it.

Step 2: Write your requirements as sentences the warehouse can execute

Many cases of damage and misunderstanding come from notes that are too vague. Compare the following two ways of writing them:

When writing notes, use the four-part format of "item — packaging action — cushioning requirements — labeling requirements" so warehouse staff don't have to guess.

Step 3: Verifying information before arrival at the warehouse

While the packages are still in transit with domestic couriers, you can organize the following information and submit it all at once after the packages arrive at the warehouse:

  • Which items correspond to each tracking number, and whether they belong to the same order.
  • Which packages need to be consolidated, and which must be shipped separately.
  • Which items need to be opened, inspected, and photographed, and which only need an exterior check.
  • Whether price tags, invoices, or Chinese promotional materials need to be removed.
  • Whether the outer box needs to be replaced, a waterproof bag added, a wooden frame added, or corner protectors added.
  • Check whether the recipient's name, UK address, and contact phone number match the order information.

If the same batch contains liquids, powders, items with batteries, or branded goods, it is recommended to list them separately in the remarks. The warehouse will provide feedback based on the actual packaging condition, and then you can decide whether to adjust the plan. Step 4: Reinforcement tips for fragile items and special goods

Glass, ceramics, and porcelain

  • Wrap each item individually with bubble wrap, and secure the seams with tape to prevent loosening.

  • Do not leave large gaps inside the box. No rattling sound should be heard when shaken.
  • Mark the outer box with a fragile label and avoid mixing it with heavy goods.

Electronics and small appliances

  • Keep the original color box and inner lining. Add cushioning material between the outer box and the color box.
  • Confirm whether the power plug, manual, and accessories are all complete. Report any missing items before shipping.
  • Items containing lithium batteries must be confirmed separately according to shipping requirements. Do not assume on your own that they can be shipped as ordinary goods.

Clothing, textiles, and soft packages

  • Remove excess hangers, plastic bags, and promotional tags to reduce volume.
  • Pack with a waterproof bag or compression bag, then place in the outer box to prevent moisture damage.
  • When combining multiple garments in one box, layer them by category for easy counting upon arrival.

Liquids, pastes, and powders

  • Seal the bottle opening a second time with plastic wrap or tape, then place it in a separate sealed bag.
  • Store separately from clothing and paper products to avoid leakage and contamination.
  • Whether an item can be shipped and how to declare it are subject to the destination country's official requirements and real-time quotes.

Step 5: Final confirmation checklist before shipping

After the warehouse completes repacking, it is recommended to verify the following items before shipping:

  • Check whether the outer box is dry, free of damage, and securely sealed.
  • Check whether there is any rattling sound inside the box and whether the cushioning is adequate.
  • Check whether the fragile label, this-way-up label, and recipient information are clear.
  • Whether the actual weight and volume after consolidation match expectations.
  • Whether you need the warehouse to provide photos after packing as confirmation.
  • Whether the shipping method, declaration information, and recipient address have been finalized.
